Today, the team uses Calendar, Docs, Sheets, and Slides on a daily basis, to communicate and collaborate with team members within its headquarters located in Jakarta, and with those at the company’s branch office in Surabaya.

“Having a platform that unifies the team has been a great asset, particularly because we don’t have to login to multiple accounts,” says Martin Chandra, IT Manager at Mastersystem Infotama. As a result, the organization has been able to reduce operational cost by 30 percent. But beyond the cost savings, Martin says that it’s the ease in administration that has truly been an asset to the company. 

Beyond internal security, ensuring that customer data is protected is imperative to the company. “We have our service-level agreements with our customers and are required to keep certain information for a specific number of years. Ensuring that this data is protected is very important, which is why we need to be on a trusted cloud platform that comes with in-built security layers and certification,” says Martin.

Unlike other point solutions for collaboration, Google Workspace does not require any prior downloads to work. Users simply need to log in on any Chrome browser and gain immediate access to all the tools they need. For Mastersystem Infotama, this was a big plus. For example, prior to a meeting, employees do not have to worry about logging into a separate platform, or updating any software. As long as they are logged in to their Google Workspace account, they would be able to join a meeting within seconds. 

As hybrid work started to become the norm at Mastersystem Infotama, managers also needed a way to monitor and manage their subordinates. “We integrated Calendar with our Project Management Office System so that project managers could assign tasks for engineers directly from their project management tools. We also used data from Calendar to monitor and analyze engineers' productivity.” explains Martin.

With any new technology, adoption is just as important as implementation. This proved to be a challenge for Mastersystem Infotama, a 29-year-old organization. “One of the challenges we faced was to help the older employees within the organization, who may not be as familiar with the platform to be comfortable using it on a daily basis,” explains Martin. “However, due to the user-friendly interface, it did not take long to get everyone on board, as many of them could figure out a lot of the functions on their own.” 

As a business, Mastersystem Infotama supports customers with digital transformation. By using Google Workspace for their own internal processes, employees can share firsthand experience with customers when referring to Google Cloud technologies, as they have a better understanding. 

They also use Forms to conduct surveys after project completion, where clients can input their feedback, and data gets compiled automatically for the team to analyze. 

Having used the basic features of Google Workspace and seeing how it resulted in a more collaborative workforce, Martin says he is certain that the company will be exploring other features in the near future. “As part of our digital transformation journey, We have integrated one of Mastersystem’s workflows into Google Workspace and the result has been above our expectation. We look forward to collaborating more with Google in our future projects.”
